New feature upgrades for paperless taxes in OKbase

For 2025, we have prepared new feature upgrades for eDeclaration and eRequest, which employees fill out in the web portal. Read about the details of these updates and take advantage of the new video tutorials for employees.

Summary of Updates for eDeclaration and eRequest 

Based on customer feedback, we have adjusted the process for filling out forms submitted electronically by employees via OKbase. Here’s what’s new:

1/ Multi-step completion guide

The content of the requests remains unchanged, but the filling process is now more user-friendly. The original long, single-page form has been divided into clear, step-by-step sections.

2/ Simple and efficient process

Each section of the form now displays only the relevant options or documents, making the process more streamlined and intuitive.

3/ Prominent explanatory notes

Help text with essential additional information, previously hidden under an "i" icon, is now displayed next to each part of the form in a clearly highlighted field.

4/ Attachments can be uploaded during the process

Attachments for the request can now be added during the completion process or later. If the user already has relevant attachments uploaded in the system for the applicable period (e.g., proof of study, children’s birth certificates), OKbase will display them, eliminating the need for re-uploading.

5/ Updates according the current legislation

As always, the forms and processes comply with legal requirements and are based on the latest templates provided by the tax authorities. For example, the new Annual tax settlement (RZD) form no longer includes abolished deductions, such as student discounts or kindergarten fees. On the other hand, it now features a detailed breakdown of contributions for retirement products (pension insurance) along with an annual cumulative limit.

6/ Intuitive navigation

The buttons for submitting requests and accessing information are now conveniently located at the bottom of the form as well.

7/ Notifications and request status

Information that was previously only visible after providing consent or making a declaration is now displayed immediately.

TIP: Employers can embed video tutorials directly on the page where employees complete the taxpayer declaration or request for annual tax settlement (RZD). How? Authorized users (administrators) at the employer's end can modify the text, including links to the relevant video tutorials, in the settings for Payroll parameters. Navigate to: Information on the web > eDeclaration information for employees (web)/ eRequest o RZD information for employees (web). Links to videos hosted on YouTube or stored in the OKsystem repository can be used. The repository links are available in the RSS feed in the rich client.

OKbase supports other paperless processes

For five years now, OKbase has enabled the electronic issuance and receipt of Pension insurance records (ELDP), a feature launched in spring 2021. Additionally, various confirmations that employees may require from their payroll accountants can be requested directly through the OKbase application. This is facilitated by user-defined forms, allowing employees to select the needed document and submit their request to the payroll accountant, for example, a confirmation for the other parent regarding non-claiming of child tax benefits for tax return purposes. Employees can also easily upload their own attachments to the system, which appear in their profile for the payroll accountant to review and process further.

The submodule enabling this comprehensive paperless processing is called "Payroll Office Documents", and it can be added as an optional feature for customers using OKbase Payroll and Salaries. These electronic features are available to customers of our payroll outsourcing services or accounting and auditing firms managing payroll for their clients via OKbase.
